We are looking for a bright, organised Project Assistant, Project Administrator or Project Coordinator, for a busy role with a thriving business application software reseller in Hampshire. They are very flexible as to your location, all their documents are in the cloud, so you can work from home, or come into the office a couple of days a week - or every day, it's up to you. You are the type of person who is a stickler for detail, a perfectionist, tidy, always organised and a good administrator, and you work efficiently with all the Microsoft Office features, including Excel.
It would be ideal if you have helped with projects involving software implementations, but that isn't essential by any means. Being able to communicate effectively with clients and consultants and good planning, scheduling, and administrative skills are the important bit, to enable you to keep track of projects and people. Reporting to a busy Project Manager and the Directors, you will co-ordinate the activities of multiple software projects, keeping in touch with the clients and the implementation consultants to keep everything on track, and help these projects run smoothly and on time.
The Project Manager sets up the project plans, then it becomes your responsibility to communicate with the clients and consultants via email and phone (from IT Managers to Managing Directors, to Software Consultants) to chase up tasks and dates, co-ordinate between all parties, and schedule meetings and training. Plus providing project progress reports to the customers, generating project statement reports, creating schedules, looking after the risk logs and participating in weekly project meetings.
Activities include:
- Booking resources and looking after consultants' diaries
- Chasing tasks and dates and ensuring they are running in line with project plans
- Calling customers for information or updates on the projects
- Generating reports and running risk logs
- Maintaining project documentation and controlling time sheets
- Booking accommodation for the Consultants and Project Manager
- Scheduling consultant and client meetings
- Booking software training days
- Forecasting Consultants time (time used on a project vs time left)
